• MUNIS Employee Self Service (ESS)

    ESS is a web-based application that allows Stafford County Public Schools employees to privately access personal and payroll information.

Accessing ESS

  • Initial Login

    1. Access ESS.
    2. Select the Log In icon from the upper right-hand corner.
    3. Enter your Username (Employee ID number) and Password (initial password is the last 4 digits of your social security number).
    4. Click Log in.
    5. You will be prompted to change your password upon initial login.

    Forgot Your Password

    1. Click Forgot your password?
    2. Enter your email address. 
    3. Click Retrieve hint
    4. Click back to the login screen.
    5. You will receive an email that provides your password hint. 
    6. If the password hint does not cause you to remember your password, click the link in the email message to generate a new password. 
    7. In this case, the Password Regeneration page displays and when you select Initiate Password Regeneration, the application sends you an email with a temporary password that you can use to log in. 
    8. In this case, you are forced to reset the password immediately upon login.

Personal Information Changes

    1. Select Personal Information from the ESS Menu, then Add/View Changes
    2. On the Profile Changes page, select Add an action.
    3. This will open the Choose a Category page. Select the Other box. 
    4. You will then be able to choose from the following options to update:
      1. Address
      2. Email
      3. Emergency Contact Maintenance
      4. Ethnicity and Race
      5. Name Change
      6. Phone Number
    5. When finished making your changes, select Submit. The change(s) will be forwarded to the Payroll and Benefits Office to be finalized.

Direct Deposit Changes

    1. Select Pay/Tax Information from the ESS Menu, then Direct Deposit.
    2. Select Edit, then enter your routing and full account number. 
    3. Select the Account type, then Save
    4. Wait until the summary page appears with your new account information. You must check the box and then Submit the Account for Approval

W-4 and VA-4 Tax Withholding

    1. Select Pay/Tax Information from the ESS Menu, then W4.
    2. Select Edit Federal and/or Edit Virginia.
    3. Carefully follow the on-screen instructions. 
    4. Type your name in the Sign Here field. 
    5. Select Submit

    The changes will be submitted to the Payroll and Benefits Office for approval and final processing. Changes submitted prior to the 15th of the month will be effective for the upcoming payroll. (Example: changes submitted by May 15 will be effective on the April 1 paycheck.)

W-2 Delivery Method

    1. Select Personal Information
    2. Select Tax Form Delivery.
    3. Select Mail or Self Service Only

    The change will become effective immediately.
